Sound familiar?

Paper diaries, personal calendars, and spreadsheets that don't talk to each other are the classic cause of double-booking. It only takes one clinic gap you forgot to block out, or one client rebooked into a slot someone else just took, for two people to turn up to the same appointment. Every double-booking costs you an apology, a rebooking, and a client who now checks twice before trusting you again.

How Wellspring fixes it

One real-time calendar, not several

Every practitioner, room and location books from the same live calendar (Venue, Staff and their working hours all connect), so a slot that's taken anywhere is taken everywhere — no separate personal diary to fall out of sync with.

Practitioners can only be booked when they're actually working

Working-hours and staff-venue assignments are set once in Settings; the booking page and your own calendar both respect them automatically, so a client can't accidentally book a practitioner who isn't in that day.

Online booking checks live availability, not a static form

Clients booking through your public booking page see the same real-time calendar your team does — the slot disappears the moment it's taken, whether that booking came from the client, the front desk, or another practitioner.

This is the calendar's core mechanism, not a bolt-on: the shared Venue/Staff/StaffVenue model is what every appointment is written against, for every clinic on Wellspring.

Common questions

Does this work across more than one location?

Yes — venues each have their own calendar and working hours, and staff can be assigned to more than one venue if they work across sites.

What if two staff share a room?

Assign the room as its own venue (or note it in the venue address) and give both practitioners access to it — the shared calendar stops both being booked into it at once.
